Exhibitors

 

• How many exhibitor badges can we have?

  Exhibitor badges are accessed through the Exhibitor Hub and are for stand staff only, not visitors. These are capped at a maximum of 20 per stand, though in most cases far fewer will be needed. Exhibitors expecting to need more than 20 should contact the ISPO team directly.

• How do we invite our own visitors?

  Exhibitor visitor ticket invitations are shared as affiliate codes in July and August. Free ticket codes are limited to 10-20 per exhibitor and should be used to invite genuine visitors. Discounted ticket codes are also provided; these are unlimited in quantity but only valid for a limited timeframe.

• Can exhibitors attend the Leaders' Summit?

  Yes, Summit tickets are paid for separately. The current super early-bird rate is EUR 495 (standard price EUR 995). The Summit is an exclusive networking event for C-level and senior representatives only.

• Can exhibitors get tickets to the After Party?

  Yes, Party tickets are EUR 29 and can be ordered alongside exhibitor badges in the Exhibitor Hub.

• How many passes come with a stand?

  • Stand size under 50m²: up to 10 passes
  • Stand size over 50m²: up to 20 passes
  • Additional passes can currently be purchased for EUR 29 at the early-bird rate

• Are tickets transferable or refundable?

  Tickets are non-transferable and non-refundable. If someone's role changes, their details can be updated in the registration system. For Summit tickets specifically, ISPO may allow more flexibility with a refund if the ticket holder has left the industry.

• Do exhibitors need to staff their stand for the full opening hours?

  Yes. Exhibitors and their representatives must remain at their stand throughout all exhibition opening hours to receive visitors. Early closure of stands is not permitted

• What access do international representatives get to the exhibition?

  International representatives are provided with badges as an extension of the ISPO team.

• Can international representatives attend the Summit?

  Yes, attendance is free using the code 31SUMMIT when booking. Please note this falls on the last day of exhibition build-up, so representatives may need to support their exhibitors during this time if attending.

• Can international representatives attend the After Party?

  Yes, this is free of charge as a chance to network with your exhibitors, so keep Wednesday evening free.

• Can an exhibitor combine multiple BrandNew booths, e.g. to get 16m²?

  No. Exhibitors who want a 16m² footprint should book a normal stand rather than combining BrandNew booths.

• Do BrandNew exhibitors automatically enter the BrandNew Award?

  No, entry is separate and must be applied for. All exhibitors in the BrandNew Showcase are eligible to enter. Entry is free; the application link will open later.

• Is the BrandNew hall clustered by theme or community?

  No, BrandNew is run as one innovation hall with no clustering.

• Will there be marketing support for BrandNew, e.g. on LinkedIn?

  Yes. Marketing will be shared with agents first, with wider promotion via email and social channels in the coming weeks. Agents currently hold a waiting list, so they are being given the chance to secure bookings before the wider push goes live.

• Do exhibitors need their own insurance?

  Insurance is included as standard as part of the stand fee. If you have opted out of this, you must hold public liability insurance cover of no less than EUR 2,000,000.

• What are exhibitors responsible for?

  Exhibitors are fully responsible for any damage or loss to their own exhibits, equipment, decorations, stock and stand caused by fire, theft, deterioration, water damage or firefighting operations; the organiser does not insure these. Exhibitors are also responsible for accidents involving their own staff, the organiser's personnel, visitors, technicians, or neighbouring stands, where caused by their machines, motors, electric power or other equipment, and are liable for direct or indirect damage or injury caused by themselves or by third parties acting on their instruction.

• What insurance is mandatory?

  • Third-Party Liability Insurance (compulsory) - covers accidents to third parties on the exhibition premises involving the exhibitor, their employees or stand contractors
  • All-Risks Insurance for stand equipment and exhibited articles, whether owned or rented

  Exhibitors are also responsible for insuring against, or covering costs incurred by, abandonment or postponement of the exhibition for any reason.

  
  

  Outstanding: the step-by-step insurance process (booking confirmation email, submitting a policy, and any credit-back) still needs to be written up clearly for exhibitors - to confirm with the team before this goes out.

Visitors

Visa invitation letters are not provided to general visitors as standard. There are two exceptions:

• Hosted Buyer Programme participants may request a letter
• SPO Leaders' Summit ticket holders may request a letter

If either applies to you, email the ISPO team with confirmation of your participation.

Exhibitors

Exhibitors are eligible for a visa invitation letter once at least 50% of the invoice (deposit plus applicable fees) has been paid. Email the ISPO team to receive the Exhibitor Visa Letter Application Form; once completed and returned, the letter will be prepared and sent.

All visa enquiries are answered within 1-3 working days.
